TERMS & CONDITIONS – V3

1. Definitions
“The Eventful Pup”, “we”, “us” and “our” refer to The Eventful Pup.
“Client” or “Owner” refers to the person(s) making the booking.
“Dog” refers to the dog(s) listed on the booking form.
“Services” refers to the wedding dog chaperone, transport, extended care, Dog POV, canine content creation and any other services specifically agreed in writing for the booking.
2. Services
The Eventful Pup provides wedding dog chaperone services for couples wishing to include their dog(s) in their special day.
Services may include:
· Wedding day attendance
· Dog transportation
· Walks and comfort breaks
· Assistance during photographs and ceremonies
· Feeding and general care
· Overnight or extended care arrangements where agreed
· Dog POV and/or canine content creation where agreed
All services are tailored to each booking and confirmed prior to the wedding date.
3. Areas Covered & Travel
The Eventful Pup primarily covers Kent and Sussex.
Where travel outside the included area is agreed, additional mileage will be charged at the current HMRC approved mileage rate for cars and vans applicable at the time of travel. At the date of this version, the rate is 55p per mile for the first 10,000 business miles in the tax year.
Any applicable travel fees will be discussed and agreed prior to booking confirmation. Parking, tolls, congestion charges, accommodation or other exceptional travel costs may also be charged where agreed in advance.
4. Booking Confirmation
A booking is not confirmed until:
· The booking form has been completed and returned.
· These Terms & Conditions have been accepted.
· The required deposit has been paid.
The Eventful Pup reserves the right to decline any booking.
5. Consultation & Meet and Greet
All wedding bookings include one complimentary consultation and meet and greet session.
The purpose of the meet and greet is to:
· Discuss wedding arrangements.
· Understand the dog’s needs and routine.
· Review any behavioural, medical or welfare considerations.
· Allow the dog to become familiar with their chaperone.
Additional meetings requested by the Client may be subject to an additional charge.
The Eventful Pup reserves the right to decline or cancel services if significant welfare, behavioural or safety concerns become apparent during the meet and greet.
6. Deposit & Payments
· A non-refundable deposit of 25% is required to secure the wedding date.
· The remaining balance must be paid no later than 28 days before the wedding date.
· Failure to pay the balance by the due date may result in cancellation of services.

7. Dog Health & Welfare
The Client confirms that:
· Their dog is in good health.
· All vaccinations, flea treatments and worming treatments are up to date where appropriate for the dog’s age, health and lifestyle.
· Their dog is free from any contagious illness.
· Any medical conditions, allergies, medications, behavioural concerns or special requirements have been disclosed before the event.
The Eventful Pup reserves the right to refuse handling of any dog if welfare concerns arise.
8. Dog Suitability
Dogs of all sizes may be considered for wedding dog chaperone services on a case-by-case basis.
Small to medium dogs may be accommodated for preparation visits or care within the chaperone’s home environment where this is specifically agreed and lawful. Larger breeds may be cared for at the Client’s home, wedding venue or chosen accommodation.
The Eventful Pup reserves the right to decline bookings where the environment, logistics or welfare considerations are not deemed suitable.
9. Behaviour & Disclosure
The safety and wellbeing of all dogs, guests, suppliers and members of the public is of the utmost importance.
The Client must provide accurate information regarding any relevant behavioural concerns, including but not limited to:
· Aggression
· Anxiety
· Reactivity
· Nervousness
· Resource guarding
· Previous bite incidents or bite history
· Escaping tendencies
· Poor recall
Failure to disclose relevant behavioural information may result in services being refused or terminated if safety becomes a concern.
The Eventful Pup reserves the right to remove a dog from wedding activities if the dog’s behaviour presents a risk to itself, guests, venue staff, suppliers or members of the public. No refund will be provided in such circumstances.
10. Off-Lead Policy
Dogs will remain on lead unless:
· Written permission has been provided by the Client in advance;
· The area is deemed safe and secure;
· The dog is wearing an active GPS tracker or equivalent tracking device where required by The Eventful Pup.
The Eventful Pup reserves the right to keep a dog on lead at all times if deemed necessary for safety reasons, regardless of owner permission.
11. Female Dogs in Season
The Client must inform The Eventful Pup immediately if a female dog comes into season before the wedding date.
Alternative arrangements may need to be discussed, and additional restrictions may apply to ensure the welfare and safety of all dogs involved.
12. Veterinary Treatment & Emergencies
In the event of illness, injury or emergency:
· The Eventful Pup will make every reasonable effort to contact the Client and emergency contact.
· If immediate veterinary treatment is required, The Eventful Pup may seek treatment on the Client’s behalf.
The Client agrees to reimburse any veterinary expenses incurred.
13. Emergency Contact
The Client must provide an emergency contact who will be available on the wedding day.
This person must be authorised to make decisions regarding the dog’s care should the Client be unavailable.
14. Equipment, Food & Medication
The Client agrees to provide:
· Any required medication.
· Specialist food or treats.
· Harnesses, collars or leads required for the dog.
· Any outfits, accessories or comfort items required for the event.
The Eventful Pup reserves the right not to use equipment deemed unsafe, unsuitable or likely to compromise the dog’s welfare.
15. Wedding Day Responsibilities
The Eventful Pup will make every reasonable effort to:
· Arrive on time
· Follow the agreed itinerary
· Care for the dog professionally and safely
However, we cannot guarantee specific behaviours, poses or cooperation from the dog during photographs, ceremonies or wedding activities.
16. Wedding Delays, Changes & Additional Time
The Client must notify The Eventful Pup as soon as possible of any significant changes to wedding plans, timings or locations.
Weddings can occasionally overrun, and reasonable flexibility will be offered where possible.
A grace period of up to 1 hour beyond the agreed booking time may be accommodated at no additional charge, subject to availability and the dog’s welfare.
Additional time beyond this may be charged at £65 per hour. Any additional charges will be discussed wherever possible during the event.
The Eventful Pup cannot guarantee availability beyond the agreed booking period.
17. Supplier Meals
For bookings of four hours or more that extend over a main mealtime, the Client agrees to arrange a suitable supplier meal for The Eventful Pup.
The meal should be provided at an appropriate point during the booking, taking into consideration the agreed wedding timeline and the dog’s care requirements.
The Eventful Pup does not require the same meal as wedding guests and is happy to receive the venue’s standard supplier meal.
Any dietary requirements will be communicated to the Client in advance.
Where a supplier meal cannot be provided, the Client must notify The Eventful Pup in advance so that alternative arrangements can be made.
18. Transport
Where transport services are included:
· Dogs will be transported safely and securely, using an appropriate harness, restraint or other suitable method.
· Transport will take place in a clean, safe vehicle, with air-conditioning used where appropriate.
· All reasonable precautions will be taken to ensure comfort and welfare during travel.
· Travel times are estimates and may be affected by traffic, weather, road closures or unforeseen circumstances.
The Client is responsible for ensuring their dog is fit and healthy to travel.
19. Venue Requirements
The Client is responsible for ensuring:
· Their venue permits dogs.
· Any venue restrictions are disclosed before the wedding date.
· Any permissions required by the venue have been obtained.
The Eventful Pup accepts no responsibility for venue restrictions, refusals or supplier-related issues outside our reasonable control.
20. Overnight & Extended Care
Overnight care, extended care, hotel stays or care at Client accommodation may be offered on a case-by-case basis and subject to availability.
Arrangements will be agreed in writing prior to the booking date.
The Eventful Pup reserves the right to decline overnight or extended-care services where suitable arrangements cannot be safely or lawfully accommodated.
21. Extreme Weather & Outdoor Conditions
The Eventful Pup will always prioritise the safety, comfort and wellbeing of the dog in all weather conditions.
The Eventful Pup reserves the right to modify, shorten, limit, refuse or adjust outdoor activities where weather conditions could compromise the welfare, comfort or safety of the dog.
This may include extreme heat, heavy rain, storms, flooding, high winds, snow, ice or unsafe temperatures.
Every reasonable effort will be made to work with the couple and venue to find suitable alternatives where possible.
22. Collection & Additional Care
Dogs must be collected or returned according to the agreed arrangements.
Additional care required beyond the agreed package may incur additional charges.
23. Cancellation by the Client
A non-refundable deposit of 25% is required to secure the booking.
The remaining balance is due in full 28 days before the wedding or event date.
If the Client cancels more than 28 days before the wedding or event date, the 25% booking deposit remains non-refundable. Any additional payments already made will be refunded.
If the Client cancels within 28 days of the wedding or event date, all payments made are non-refundable.
Any cancellation must be communicated to The Eventful Pup in writing.
24. Postponements & Date Transfers
One date transfer may be permitted subject to availability and at the discretion of The Eventful Pup.
Any transferred booking must be agreed in writing.
If The Eventful Pup is unavailable for the proposed new date, the booking will be treated as a cancellation and the cancellation terms above will apply.
Any material change in venue, timings, services or travel requirements following a postponement may result in a revised quotation.
25. Cancellation by The Eventful Pup
If The Eventful Pup is unable to provide services due to illness, emergency, accident or circumstances beyond our control:
· We will make reasonable efforts to recommend an alternative provider.
· Any payments received, excluding services already delivered or non-recoverable third-party costs incurred specifically for the booking, will be refunded where appropriate.
26. Force Majeure
The Eventful Pup shall not be liable for delays, cancellations or failure to perform services caused by events beyond our reasonable control, including but not limited to:
· Severe weather
· Natural disasters
· Government restrictions
· Road closures
· Emergencies
· Acts of God
27. Photography, Video & Social Media
The Eventful Pup may capture photographs, videos and behind-the-scenes content during the booking and may use this content for legitimate business and promotional purposes, including:
· Social media
· Website content and galleries
· Marketing materials
· Advertising and promotional purposes
The Eventful Pup may also share suitable photographs or video supplied by or obtained from professional photographers, videographers or other wedding suppliers, subject to the appropriate copyright permissions, licenses and/or credits.
If the Client does not wish for photographs or videos featuring themselves, their dog or their wedding to be used by The Eventful Pup for marketing or promotional purposes, they must notify The Eventful Pup in writing.
Where the Client has provided written notice that they do not consent to such use, The Eventful Pup will respect this request and will not knowingly publish identifiable content covered by that request.
Content may be published at any time following the wedding or event and may remain on The Eventful Pup's website, social-media channels or existing marketing materials unless otherwise agreed.
No private personal information about the Client will be published without permission.
Professional photographer and videographer copyright remains with the relevant copyright owner. The Eventful Pup will not knowingly reproduce or publish professional supplier content without the appropriate permission, license, credit or other lawful basis.
28. Dog POV & Canine Content Creation
Where Dog POV and/or Canine Content Creation is included in the booking, it is an additional creative service designed to capture the wedding or event from the dog’s perspective and to provide informal behind-the-scenes canine-focused content.
This service is intended to complement, and not replace, a professional wedding photographer or videographer.
Dog welfare and safety will always take priority over obtaining footage. The Eventful Pup may pause, shorten, reposition or discontinue use of any camera or recording equipment if the dog appears uncomfortable, stressed, tired or unsafe, or if venue or supplier requirements make filming inappropriate.
Because dogs, weddings, venues, weather, equipment and live events are unpredictable, no particular shot, moment, angle, duration or quantity of usable footage can be guaranteed.
The Eventful Pup will take reasonable care when using recording equipment but cannot guarantee uninterrupted recording or prevent occasional technical issues, including battery failure, memory-card failure, accidental obstruction, movement, poor lighting, sound limitations or corrupted footage.
Where edited content is included, the style, format and approximate length will be as agreed for the booking. Reasonable creative discretion will be retained by The Eventful Pup.
Delivery & Storage of Content
Where Dog POV and/or edited canine content is included in the booking, the completed content will be delivered to the Client via a private Google Drive link.
The Google Drive link will remain available for 30 days from the date of delivery. The Client is responsible for downloading and securely saving any content they wish to keep during this period.
After 30 days, the content may be permanently removed from The Eventful Pup’s Google Drive and continued access to, or recovery of, the files cannot be guaranteed. Clients are therefore encouraged to download and back up their content as soon as possible after receiving their link.
Music, audio, templates or platform features used for social-media content may be subject to third-party licensing, availability or platform restrictions and may later be muted, removed or changed by the relevant platform.
The Client may share delivered content for personal use and on their own social-media channels. Unless otherwise agreed in writing, commercial resale, licensing to third parties or material alteration that misrepresents The Eventful Pup’s work is not permitted.
The Eventful Pup may use Dog POV footage, canine content, photographs and videos captured during the booking for its website, social media, marketing and promotional purposes, unless the Client has specifically advised The Eventful Pup in writing that they do not wish their content to be used, in accordance with the Photography, Video & Social Media section of these Terms & Conditions.
29. Insurance
The Eventful Pup intends to maintain appropriate business insurance for the services provided.
30. Liability
While every reasonable care and precaution will be taken, The Eventful Pup shall not be liable for:
· Pre-existing medical conditions.
· Illnesses or injuries not caused by our negligence.
· Illness or injury arising from undisclosed medical or behavioural conditions.
· Losses arising from inaccurate information supplied by the Client.
· Unpredictable animal behaviour.
· Unforeseeable incidents outside our reasonable control.
· Venue restrictions or supplier-related issues outside our reasonable control.
· Delays or cancellations caused by circumstances outside our reasonable control.
The Client remains legally responsible for their dog except to the extent that responsibility cannot lawfully be excluded or transferred.
Nothing in these Terms & Conditions excludes or limits liability where it would be unlawful to do so.
31. Welfare & Right to Refuse or Discontinue Service
The Eventful Pup reserves the right to refuse or discontinue services where:
· A dog’s welfare may be compromised.
· Safety concerns arise.
· Aggressive or dangerous behaviour is displayed.
· Conditions differ significantly from those disclosed at booking.
The welfare of the dog will always remain the highest priority.
32. Governing Law
These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.
33. Agreement & Acceptance
By signing below, paying the booking deposit, or submitting a booking form which confirms acceptance of these Terms & Conditions, the Client confirms that they:
· Have read and understood these Terms & Conditions.
· Agree to be bound by these Terms & Conditions.
· Confirm that all information supplied is accurate and complete.
